Man and Van West Ham is committed to maintaining high standards of health and safety in all removal and transport activities. This policy sets out our approach to protecting our employees, customers, contractors and members of the public from harm during house moves, office relocations and general man and van services.

Purpose and Scope

The purpose of this Health and Safety Policy is to define our responsibilities and arrangements for managing health and safety risks associated with packing, lifting, loading, transporting and unloading goods. It applies to all employees of Man and Van West Ham and to any contractors or agency staff working under our control.

This policy covers work carried out at customer premises, storage sites, on the road and at any other locations where our removal services are provided. All staff are required to familiarise themselves with this policy and follow the procedures and guidance it contains.

Our Health and Safety Responsibilities

Man and Van West Ham recognises its duty to provide, so far as is reasonably practicable, a safe and healthy working environment. Management is responsible for:

Ensuring that health and safety risks are identified, assessed and controlled.

Providing appropriate information, instruction, training and supervision to employees.

Maintaining vehicles, equipment and tools in a safe and serviceable condition.

Consulting with staff on health and safety matters and encouraging feedback.

Reviewing and updating this policy regularly to reflect changes in our operations.

Employees are responsible for taking reasonable care of their own health and safety and that of others who may be affected by their actions. All staff must cooperate with the company in implementing this policy and follow any health and safety procedures, instructions and training provided.

Risk Assessment and Safe Systems of Work

Before undertaking any removal work, Man and Van West Ham will assess the risks associated with the task. This includes considering access to the property, stairs and lifts, parking and loading areas, the size and weight of items, and any special hazards such as fragile or hazardous goods.

Where significant risks are identified, safe systems of work will be implemented and communicated to the team. This may include planning the route for moving items, allocating sufficient staff for heavy or awkward loads, agreeing signals for coordinated lifting and setting up exclusion zones where necessary.

Risk assessments will be reviewed periodically and whenever there are significant changes in work practices, equipment or locations.

Manual Handling and Lifting

Manual handling is a key part of removal work, and poor technique can lead to serious injury. Man and Van West Ham will minimise manual handling risks by:

Using handling aids such as trolleys, dollies and straps wherever appropriate.

Ensuring staff receive training in safe lifting techniques and body positioning.

Employees must not attempt to lift or move items that are beyond their capability or that present an obvious risk of injury. Any concerns about the safety of a lift must be raised with the team leader or supervisor before proceeding.

Vehicle Safety and Loading

Our vehicles are central to our removals service and must be operated safely at all times. Man and Van West Ham will ensure that vehicles are regularly inspected, maintained and suitable for their intended use. Drivers must hold the appropriate licence and follow all road safety requirements.

When loading and unloading, the team will:

Distribute weight evenly and within the vehicle's load capacity.

Secure items to prevent movement during transit.

Use ramps and loading equipment safely and in accordance with instructions.

Maintain clear access to doors and emergency exits.

Parking for loading and unloading will be planned to minimise risks to staff, customers and the public, taking account of traffic, pedestrians and visibility.

Use of Equipment and Protective Measures

All equipment supplied by Man and Van West Ham, including lifting aids, ramps, blankets and tools, must be used correctly and kept in good condition. Faulty or damaged equipment must be reported immediately and taken out of use until repaired or replaced.

Where the risk assessment identifies the need for protective measures, such as safety footwear or gloves, these must be used as instructed. Staff should wear clothing suitable for physical work and conditions on site.

Customer Premises and Public Safety

Removal work often takes place in occupied homes, offices and shared spaces. Man and Van West Ham will take reasonable steps to protect customers and the public, including:

Keeping walkways clear and free from trip hazards.

Using safe work practices on stairs and in confined areas.

Communicating clearly with customers about the removal plan and any temporary restrictions on access.

Acting with consideration and care when moving goods through shared entrances, corridors and outdoor areas.

Accidents, Incidents and Near Misses

All accidents, injuries, damage to property and near misses must be reported to management as soon as possible. Man and Van West Ham will investigate incidents to understand what went wrong and to implement measures to prevent a recurrence.

First aid arrangements will be in place appropriate to the nature of our activities. Staff will be informed about the location of first aid supplies and any appointed persons.

Training, Supervision and Policy Review

Man and Van West Ham is committed to providing ongoing health and safety training relevant to removal work, including induction training for new staff and refresher training where required. Supervisors will monitor working practices on site and provide guidance and correction where necessary.

This Health and Safety Policy will be reviewed regularly and updated to reflect changes in legislation, best practice and the nature of our services. Any changes will be communicated to all employees, who are expected to comply fully with the updated policy.
